Real estate software in LATAM: custom proptech to sell and operate better

Real estate in Mexico and Colombia moves a lot of money, but it usually runs on disconnected tools: generic listing portals, a CRM that does not fit, spreadsheets for the unit inventory, and WhatsApp for everything else. The outcome is predictable — leads go cold, commissions are hard to calculate, buyers do not know what step they are on, and teams copy data from one screen to another.

What is custom real estate software (proptech)?
Proptech is all the software that digitizes buying, selling, renting, and managing property. It can be something you buy (a SaaS real estate CRM, a listing portal) or something you build when your operation does not fit inside a SaaS box. Custom software does not replace lead-generation portals like Inmuebles24, Lamudi, Metrocuadrado, or Fincaraíz — it connects to them and to your operation so you stop working in silos.
The types of real estate software most in demand
Custom property portal or marketplace
Your own site where buyers explore listings, filter by area, price, and features, book viewings, and start the process. The advantage of your own portal is that the brand, the experience, and the lead data are yours — not a third-party portal's.
Custom real estate CRM

A generic CRM rarely models real estate logic well: reservations, deposits, files, and the stages of a months-long deal.
Project and unit-inventory management
For developers: a project board with the status of every unit (available, reserved, sold, deeded), price lists by phase, and control of deposits and payments. It replaces the shared spreadsheet that goes stale and causes the same unit to be sold twice.
Customer portal and after-sales
A portal where buyers track their process, upload documents, check their payment plan, and report after-sales issues (construction warranties). It cuts calls and emails and improves the experience in a purchase that is usually slow and stressful.
Rental and property management
For property managers: contracts, rent and fee collection, account statements per unit, maintenance, and communication with tenants and owners. Here the ROI comes from automating collections and reducing arrears.

- E-invoicing: CFDI in Mexico and DIAN e-invoicing in Colombia for rent, commissions, and services.

For an agent to be useful, it has to query your real inventory and rules — not invent availability.
Buy a SaaS or build custom?
If your operation is standard and small, a SaaS real estate CRM is usually the best first step: cheap and fast. Build custom when the process is your differentiator (a proprietary pre-qualification flow, an unusual commission model, phased project sales), when you need to integrate several systems no SaaS connects, or when the SaaS per-user cost explodes as you grow. Many companies start hybrid: SaaS for the standard parts and custom software for what makes them win.
What it costs and how long it takes
A bounded, high-value first product — for example a portal with lead capture and pre-qualification, or a unit-inventory board — is usually in production in 6–12 weeks. A fuller platform (portal + CRM + customer portal + payment/invoicing integrations) is a phased project of several months. Cost depends on scope, integrations, and business rules, not a generic feature list. The healthy path is to budget by milestones (30/30/40) tied to deliverables and start with the module that moves the commercial needle most.
Common (and expensive) mistakes
- Building everything at once instead of starting with the highest-ROI module (lead capture or inventory).
- A unit inventory in a shared spreadsheet → double sales and stale prices.
- Leaving CFDI/DIAN and contract signing until the end of the project.
- Copying a generic SaaS instead of digitizing your real process (you lose your differentiator).
- Not connecting your own portal to lead-gen portals → double entry and lost leads.
- No data owner: the same lead or client duplicated across three systems.
Checklist before you hire
- What is the bottleneck today: capturing leads, closing sales, or managing after-sales/rentals?
- Which systems do you already use and which must be connected (portals, accounting, payments)?
- Which proprietary rules do you have (commissions, deposits, project phases) that a SaaS does not model?
- Which tax requirements apply (CFDI in MX, DIAN in CO)?
- Does the vendor hand over the code and repos, or do you stay locked in?
- Can we start with one measurable module before committing the full budget?
